The Subscribers page allows users to manage subscription categories and organize subscription lists for targeted community communications.

Location: Resources → Subscribers

Objectives

  • Primary Goal: To enable users to organize bulletin subscriptions into categories so community members can choose to receive relevant notifications
  • User Benefits: Allows community members to receive tailored information that is pertinent to their interests, reducing unnecessary communication and enhancing the relevance of received bulletins

Tips and Tricks

Important: Sending too many messages to your community’s subscriber categories may prompt residents to reply with “STOP” rather than opting out of a specific category. When a resident replies “STOP,” they are unsubscribed from ALL text messages—including important service-related alerts from the city.

Best Practice: Regularly review and update the categories to ensure they align with current community interests and needs. Consider creating categories for seasonal or recurring events for better engagement.

Sending Messages to Subscribers

Creating a Subscriber Message

  1. Click ‘Create Message to Subscribers’ button
  2. Setup Tab:
    • Name the notification
    • Select target category/categories
    • Add optional web link
  3. Channels Tab:
    • Enter text message content (160 character limit recommended)
    • Enter email message content
    • Click ‘Next’ to save
  4. Schedule Tab:
    • Send immediately or schedule for later
    • Select date and time if scheduling
    • Click ‘Next’
  5. Confirm Tab:
    • Review notification details
    • Click ‘Queue Notifications’ when ready

Managing Categories

Creating a New Category

  1. Click ‘View Categories’ button
  2. Click ‘Add Category’
  3. Enter category details:
    • Category name
    • Description
  4. Click ‘Save’

Editing a Category

  1. Click ‘View Categories’
  2. Select the category to edit
  3. Click ‘Edit Category’
  4. Make necessary changes
  5. Click ‘Save’

Deleting a Category

  1. Click ‘View Categories’
  2. Select the category to delete
  3. Click ‘Edit Category’
  4. Click the trash can icon at the bottom
  5. Confirm deletion

Managing Subscribers

Viewing Category Subscribers

  1. Click ‘View Categories’
  2. Select the desired category
  3. View subscriber list in the right widget

Editing Subscriber Information

  1. Navigate to the category subscriber list
  2. Click the pencil icon next to the subscriber
  3. Update information:
    • Name
    • Email address
    • Phone number
    • Contact preferences
  4. Click ‘Save Subscriber’

Adding Subscribers in Bulk

Individual Subscriber Management

Subscribers can self-manage their preferences by:

  • Texting keywords to subscribe/unsubscribe
  • Using the web portal
  • Submitting preference forms

Category Best Practices

Consider creating categories for:

  • Emergency Alerts - Critical safety information
  • Service Disruptions - Water, power, road closures
  • Community Events - Activities and gatherings
  • Meeting Notices - Public meetings and hearings
  • Newsletter - General community updates
  • Project Updates - Construction and improvements
  • Seasonal Reminders - Weather-related notices

Category Naming Conventions

  • Use clear, descriptive names
  • Avoid technical jargon
  • Keep names concise
  • Include frequency expectations (e.g., “Weekly Newsletter”)

Integration with Other Features

Linking to Notices

Subscriber categories can be attached to notices:

  1. Create or edit a notice
  2. Toggle relevant subscriber categories
  3. Send updates to interested subscribers

Broadcast Integration

Use subscriber lists for targeted broadcasts:

  • Import subscriber lists as contact groups
  • Send broadcasts to specific categories
  • Track engagement by category

Subscriber Analytics

Monitor subscription health:
