Tags

The Tags page allows you to create and manage different data tags to categorize and organize your contact and location data effectively.

Location

Found under the Community section in the side navigation bar

Objectives

  • Primary Goal: Enable users to categorize and filter items using customized tags for quick access and organization
  • User Benefits: Facilitates quick segmentation and identification of items, improving workflow and app usability

Tag Types

1. Contact Tags

Used to categorize contacts for targeted outreach.

Common Examples:

  • Rebate program participants
  • Board members
  • Partner groups
  • VIP customers
  • Newsletter subscribers

2. Location Tags

Used to categorize locations by type or characteristic.

Common Examples:

  • Residential locations
  • Commercial locations
  • Secondary metered locations
  • Verified non-lead locations
  • High-usage accounts

3. Contact & Location Tags

Creates context-specific relationships between geographical areas and contacts.

Less Common

This tag type is used less frequently and only when there’s a specific relationship between location and contact.

Examples:

  • “Flood Risk Area – Emergency Contacts”
  • “Zone 5A - Backflow Prevention Contacts”
  • “District 3 - Board Representatives”

4. Boundary File Tags

Categorizes locations within specific geographic boundaries using shapefiles.

Common Uses:

  • Pressure zones
  • Source protection zones
  • Flood-prone areas
  • Service districts
  • Ward boundaries

File Upload Format

When bulk assigning tags via file upload:

File Requirements

  • Formats: CSV or Excel files accepted
  • Required Field: Account numbers in Column 1
  • Header Row: Include column header (e.g., “Account Number”)
  • Additional Fields: Optional, will be ignored

Boundary File Tags

Creating a Boundary File Tag

  1. Within the Tags page, select ‘Add Tag’
  2. From dropdown options select ‘For a Boundary File’
  3. Upload the .zip file that contains your shapefile
    • File must be compressed in .zip format
    • Include all shapefile components (.shp, .shx, .dbf, .prj)
  4. Select the column name to be used for naming your new tag(s)
    • Options typically include ‘Shape_Leng’ or ‘Shape_Area’
    • Choose the most descriptive option for your use case
  5. Click ‘Create Tags’
  6. Change name of newly created tag(s) if needed
    • System will auto-generate names based on selected column
    • Edit for clarity and consistency
  7. Review captured areas:
    • Select the tag
    • Navigate to the ‘View Map’ tab
    • Verify the boundary coverage is correct

Shapefile Requirements

  • Must be in .zip format
  • Include all required shapefile components
  • Coordinate system should match your service area
  • File size limitations may apply

Common Use Cases

  • Pressure zones for water systems
  • Electoral districts or wards
  • Service area boundaries
  • Special assessment districts
  • Emergency response zones

Tag Integration

Use Tags For:

  • Broadcasts: Target specific groups
  • Notices: Notify relevant subscribers
  • Workflows: Automate based on categories
  • Reports: Generate filtered analytics

Important Considerations

Tag Deletion

Deleting a tag removes the categorization but does not delete the contacts or locations themselves.

Tag Limits

While there’s no hard limit on tags, too many can make management difficult. Aim for meaningful categorization.
